Minutes of the Board of Director’s Meeting Tucson Community Meditation Center
November 6, 2007 5:30 p.m.
Present: Blake Ashley, Blake Barton, Lhasha Tizer, Terry Magee, Debra Raeber, Frank Tomizuka, Chuong Tran
The minutes from the last meeting, October 2, 2007 were approved.
Call to the Audience: Wanda Poindexter mentioned that after the last annual meeting she heard some comments from members about the nominating process for TCMC board members. She asked if the board had thought about having a nominating committee for board members.
Blake A. said that we will put it on the agenda for the next board meeting.
Wanda brought some metal display signs for placing in front of the center.
Use of the TCMC member email list for non-TCMC events:
The question was brought up whether we should exclude announcing anything to the TCMC email list that is not TCMC sponsored. Our current policy is to decide what to email on a case by case basis. Lhasha mentioned that in the past we have circulated emails from other groups as a service to our members and that she can see a value in that. It brings to TCMC the sense that we are connected to the community. Chuong suggests that we ask the members of TCMC what they would like. Lhasha suggested that we ask at the annual meeting. Debra suggested that we put announcements about non-TCMC sponsored events in the monthly enewsletter. Blake Barton expressed concern that advertising non-TCMC sponsored activities might compete with our own activities. Blake A. doesn’t like the idea of our sending out a separate non-TCMC related email. We could include non-TCMC sponsored events in our enewsletter. It was suggested that at the end of the TCMC enewsletter we have a section titled “Other Events”. The following motion was made and passed. TCMC will not send individual emails for anything other than TCMC sponsored events and related TCMC issues. Other events that are related to meditation can be announced in the monthly enewsletter, can be posted on the bulletin board at the center, and on links to our website. If a case comes up that doesn’t seem to be clear then the board will make a decision.
Hosting of Brown Students: Willoughby Britton has asked TCMC to host some students who are coming to Tucson to attend a conference at the U of A. We would provide a place for them to sleep. They would not be able to cook at the center. The dates are April 7 – 12, 2008. We would ask that they maintain quiet during regularly scheduled classes and sits. There was a discussion and it was decided that the board is open to this idea as long as the Brown students can comply with these restrictions. A motion was made and passed that TCMC invite the Brown students to stay at the center during the dates, April 7 – 12, 2008.
Appointing Master of the Calendar for TCMC:
Job Description is as follows: Keeping track of TCMC regular activities special activities, and retreats. Also coordinating activities with the Facilities manager. This person would keep the calendar and help us schedule classes and events, maintaining the schedule of possible events and when finalized these events would be put on the website. One person would be in charge of all of this. A hard copy of the calendar would be posted at the center.
A motion was made and approved to appoint Linda Bacon as the Calendar Master.
Authority for Blake B. to sign retreat contracts: The board approved a motion to give Blake B. the authority to sign contracts for retreat arrangements to the extent permitted by the Bylaws.
Board Retreat: Lhasha asked that the board members who will be attending the board retreat read the email she sent about the agenda for the retreat.
Anna Douglas Retreat January 26 & 27, 2008: Anna would like TCMC to advertise her Enneagram Class and would like to rent space at TCMC for the event. Terry has emailed Anna regarding worries about filling the retreat at Pocket Sanctuary in February if too many events with Anna are scheduled closely to each other. We will wait to hear back from Anna before going forward with this.
